Need help setting up your network scanner?

Before following the steps below, please review these important notes: The instructions are based on a Dell 3115cn printer but will apply to a majority of IP addressable network printers. The following instructions are assuming that your IP addressable network printer is already configured and connected to your PC. The instructions also assume some basic computer knowledge. Setup and configure a network IP addressable printer on your offices network to scan to a shared network folder with these quick and easy steps

Step 1. Browse to your printer list.Windows XP just go to Start -> Control Panel -> Printers and Faxes.Windows Vista and above just go to Start -> Devices and Printers

Step 2. Right click on the name of the printer that you want to scan from.

Step 3. In the properties menu click on the ‘Ports’ tab up at the top. Under the ‘Ports’ tab scroll down and click on the ‘Standard TCP/IP Port that has your printers name on it. Click on ‘Configure Port..’

Step 4. With the configure port window open write down the IP address located in the 2nd text box labeled “Printer name or IP Address”

Step 5. Open up a web browser window such as Google Chrome or Mozilla Firefox. Up at the top address bar type in the IP address of the printer and hit the Enter key on your keyboard.

You will then be prompted to input a user name and password. The default user name and password for most Dell printers is UN: admin PW: (leave blank). Once your user name and password is accepted you will be directed to the main printer menu.

Step 6. On the main printer page on the left navigation menu click on the ‘Address Book’ link.

Step 7. Next click on the ‘Server Address’ tab at the top of the page (Arrow 2.) Then click on the ‘Create’ button to the right of the page.

Step 8. On the final configuration page you need to input text in the fields that I have marked with numbers in the image to the left.

Explanation of the text fields in the Step 8 Image are as follows:

  1. Name: This name is simply the name that will display on the printers LCD screen when you are scanning something.
  2. Server Address: This needs to be the IP address of the computer that is hosting the shared folder that you want to scan to.
  3. Server Port Number: The most common port number for SMB scanning over a network is 139.  99% of the time you should use port 139.
  4. Login Name: This is the login name that the printer will use to gain permission to save your scanned item to the shared folder of your choice.  In this text box needs to be the name of your domain followed by a back slash \ and your user name (preferably an administrator user name)
  5. Login Password: This is where you will save the password for the user name you put in text box #4.  Make sure there is a check next to ‘Enable Password’ and that you type the password in the box next to ‘Enable Password’
  6. Share Name: This is the name of your shared folder that you want to be able to scan to.  The name in this text box needs to be the exact name of the folder that you want all of your scans to save to.
  7. Server Path: For SMB scanning (like we’re setting up in this tutorial) the server path is unnecessary so leave it blank.
  8. Apply New Settings: Press this button to apply the settings that we just went over and then go test your network scanner!!
